I. CORRECTION OF WORK
(Non conformance discovered less than one year after construction)

ACTIVITY   DEPARTMENT ACTION
Evaluation 1 Maintenance Respond to all calls
  2 Maintenance Evaluate problems and determine if cause is related to construction.
  3 Maintenance Repair routine maintenance problems on construction work completed less than one year.
Emergency Repairs* 1 Maintenance Call contractor to respond to emergency work within agreed time
  2 Maintenance Repair emergency work and charge contractor if contractor cannot respond in required time or contractor fails to repair in agreed time.
  3 Maintenance Inform Facilities before and after making emergency repairs
  4 Maintenance Prepare documentation of calls, repairs, costs
  5 Maintenance Submit documentation to legal for reimbursement
Non-Emergency
Repairs
1 Maintenance Call Facilities and request contractor repair
  2 Facilities Call contractor to respond within an agreed upon time
  3 Maintenance Meet contractor on site as necessary
  4 Facilities Coordinate repair with contractor
  5 Facilities Issue written notice of nonconformance
  6 Facilities Reach agreed upon completion date with contractor
  7 Facilities Give 7day written notice when work is not done by completion date.
  8 Facilities 7days after written notice begin work through IDC and inform original contractor.
  9 Facilities Collect and submit documentation of calls/repairs/expenses for reimbursement
  10 Facilities Submit documentation to legal for reimbursement
1yr followup 1 Facilities 11months after substantial completion, arrange on site meeting with maintenance and school personnel to capture existing problems and give written notice to contractor before end of 12th month after substantial completion. (See also 4.2.14, supplemental conditions)
* Emergency repairs are those that are needed to reduce/prevent conditions detrimental to life/safety, further facility/equipment damage, or negatively impacting students learning.
